The world is going through some tough changes right now because of the pandemic COVID-19. But that doesn't mean we need to sit down and wait for it to dissipate or worst, panic. This blog post will give you some ideas on how to take full advantage of opportunities in tough financial times.

Things to do to Taking Full Advantage of Opportunities in Tough Financial Times:

Stay Calm! There is so much panic in the world and you want your business to be affected by that. Try to follow accurate information. Do not fall into clickbait titles especially from the news media.

Refer to trusted websites like CDC Guidelines or go to your local health agency or department of education in your county.

Don't overreact and stay calm.

Other tips:

  • Air dry your hands. Don't use a paper towel or air blowers.
  • If you are in a public area, use paper towels to open doorknobs or press elevator buttons.

Microsoft ended its official technical support for the out-of-date Windows operating system (Windows 7) on January 14, 2020.

Wow, did Dave mess up on his emails!

We will all mess up from time-to-time, but what sets us apart is how we work to recover from our failures!

Well, I was going to be getting a colonoscopy Monday, January 20, and I thought I should enable my out-of-office. I did that a couple of hours before my appointment.

Had never done it before...guess what happened?

For whatever reason, MacMail started generating a ton of emails! Some of you received my out-of-office notification many times with strange subject lines!

And the worse thing was, I got alerted when I was in the waiting room of my doctor's office, with no computer access. I was just about to head into the procedure and I'd be unable to do anything for several hours!


Well, long story short, I ended up calling one of our vendors and we worked through suspending emails for the short term, so no more harm was going to be done. Phew!

Lessons learned when you have REALLY pressing problems as eventually, that will happen to all of us:

  • Choose vendors you can get ahold of with the phone (like PWC). Don't go cheap as you've worked hard to build your reputation and your business.
  • Don't panic - there's always a solution. Breathe and think.
  • Create a great relationship with your clients - when you mess up, they'll be totally forgiving!
  • Build redundancy in your business by having great vendors, team members, and systems that back you up.
  • Don't try something new technically when you won't be around to handle things if it goes belly-up!

And of course, you're wondering about the colonoscopy outcome - all good!


Reminder: How to properly write dates this 2020

Make sure to spell out the whole year when writing dates especially when signing contracts.

Why is this important? Let's say you sign a contract for services and date it "2/4/20". Someone could then add "19" to the end of the year and say you signed it a year ago!

You'd be on the hook for whatever amount of money they say you owed them.

And no way to prove them wrong.

So make sure that when you sign and date ANYTHING, write out the full year.

Thief Stole Payroll Data for Thousands of Facebook Employees

Personal banking information for many Facebook Inc. workers in the USA were stolen last month from an employee's corporate hard drive.

Information such as names, bank account numbers, social security numbers, compensation information, salaries, etc., were stolen.

According to the investigation, the Facebook employee who got robbed wasn't supposed to take the hard drives outside the office.

That's basic security lesson number 1: DON'T DO SOMETHING STUPID! THINK! 😀

Sorry to be blunt, but if you have the same username/password over multiple critical accounts (like banking, email, social media), that's not being the wisest, and you're only asking for trouble.

Policies for your website

Several laws already require websites with a contact form to have a Privacy Policy.

Several states are proposing laws that will allow citizens to sue businesses for not having a Privacy Policy, regardless of the size or location of the business. In fact, California's new law is set to go into effect on January 1st.

But what should be in that policy?

Emphasize Your Core Values

Here are two favorites:

(1) A taxi passenger tapped the driver on the shoulder to ask him a question.  The driver screamed, lost control of the car, nearly hit a bus, drove up onto the sidewalk, and screeched to a halt just inches from a shop window.  For a second everything went quiet in the cab.  Then the driver said, "Look, don't ever do that again.  You scared the daylights out of me!"
The passenger apologized. "I didn't realize that a little tap would scare you so much."
"Sorry," the driver replied, "It's not really your fault.  Today is my first day as a taxi driver.  I've been driving a hearse for the last 25 years."

(2) What did the momma cow say to the baby cow out in the field later in the day?
"It's pasture bedtime."

We may make this a regular feature of the report!

But the point is, emphasize your core values with your team. Do something to keep them alive!

Proper Way to Name Images Before Uploading Them to Your Website

It is important to properly name your images or any media you want to upload on your website. Doing so would make it easier to find files and improve your website's SEO.

It's also critical for Accessibility reasons.

Update LastPass Now!

It would be the smartest move to update LastPass if you're using it as your password manager. There was a security bug in their system that could have revealed credentials entered on a site you previously visited.

LastPass issued a fix on September 12 solving the security bug mentioned. For Chrome users, the update should be applied automatically. If you're using a LastPass app, update it ASAP!

This security bug doesn't mean that you should give up on using Password Managers, or any software that has a security flaw. Just be careful by

  • Having unique passwords for every login
  • Enabling two-factor-authentication (2FA) for critical accounts
  • Keeping all software up-to-date on all of your devices

Forty Whacks for Program Management - Whack #3: Ask For Results

In business, it's all about producing results.

Explain the situation and request help in getting the results you need. Sometimes you don't know the best way to get the result, so give your team member freedom to produce those results. They will respond well to being challenged and involved, and giving them authority may surprise you with them producing results even GREATER than you expected!

Is Asynchronous communication the future of team communication?

This type of communication can be more efficient as compared to Synchronous communication.

Synchronous communication means that there is an immediate response between two team members who are conversing.

Example 1: I walk to your desk and tell you something, you consume the information at the same time I’m sending it.

On the other hand, Asynchronous communication sounds like this:

Example 2:  I write you an email. I send you the email. You read it. You have consumed the information after I sent it — seemingly on your own time. This frees both parties from the need to be “synced up.”

Asynchronous communication is the future of work because it allows us to communicate with higher agility and efficiency. This type of communication allows the receiver of information to respond in his/her own pace.

Benefits of Asynchronous communication:

  1. Being able to build large stretches of focus time. (this is huge when you want to work ON your business for a while instead of IN your business)
  2. Being able to communicate with a remote team (handy if you work with Virtual Assistants. Visit for more information about what we'll be launching soon).
  3. Being able to look back at 'notes' or shared information (it's easy to forget the context of what someone was talking about).
  4. Being able to digest and think about how to respond to a teammate (it's good to think!).

One of the biggest mistakes we can make is responding to email immediately unless we're in that block of time and someone has done this.

However, asynchronous communication can quickly cause miscommunication if you're not careful.

  • you can't read body language and thus you will tend to misinterpret people's intentions
  • the way a person communicates through email or chat doesn't always reflect what they really are saying
  • it can cause you to spend more time going back-and-forth

Often, we record videos to help us communicate, then those videos are sent by email; this works fantastic, and kinds of gets you the best of both worlds.

The Limitations of Website Analytics

Here at Pro Website Creators, we give our best to track your website's monthly analytics. This includes the number of clicks your website gets, where the traffic comes from and more. But as technology develops, some browser tools make it impossible for Google Analytics to track everything to 100%. A good example of that type of a tool is an Ad Blocker.

Is it still possible to track if your website is doing great? The answer is Yes.

Instead of solely relying on Google Analytics there are other metrics that you can use to measure your site's performance. Examples of these are:

We're reading the book Atomic Habits by James Clear. There are a few great points to bring out:

  1. Your habits to your life are like what compounding interest is to money; you don't see much change immediately, but stick with them, and over time you'll reap a HUGE benefit (or detriment depending upon your habit.
  2. Goals are fine, but to actually accomplish them you must have a system in place and the required habits to get those desired results; thus, you do not rise to the level of your goals; you fall to the level of your systems.
  3. Focus on the IDENTITY behind the goal and not the goal itself. For example, the goal is not to read a book, the goal is to become a reader.
  4. Habits are the key to changing your identity. Each time you read a page of a book, you are a reader. So then keep reading!

So how to change your identity? Do these two things:

(1) Decide the type of person you want to be.
(2) Prove it to yourself with small wins. Continuously.

Atomic Habits is definitely a worthwhile read and study.

What is Accessibility?

The overall idea is to allow your website to be as navigatable as possible by those who may be hearing or visually impaired, as well as those that have physical disabilities (maybe they cannot use a mouse, only a keyboard, for example). This way they can understand what's on your site and can also purchase products and/or services.

What is WCAG?

The WCAG is a group of individuals and organizations around the world who come together to discuss and create standards for how to make web content more "accessible" to people with disabilities.

WCAG 2.0 was published in 2008. WCAG 2.1 was published in June of 2018.

Since the federal government has no standards (think ADA requirements for physical stores), the WCAG guidelines are serving as the defacto standard for online content.

Why should I care?

Three main reasons:

  • It's good business to provide for those disabled that may want to book or purchase your products as it adds more revenue and better company branding.
  • It helps to avoid or limit exposure to lawsuits, both valid and frivolous.
  • It's good for SEO as you give search engines more information about elements on your site such as images.

Yes! More lawsuits were filed in the first six months of 2018 (1053) than in all of 2017 (814). In fact, businesses located in all but 12 states have fallen victim to website-related lawsuits and threats of suits, paying anywhere from $4,000 to over $90,000 to resolve the claims.

Of course, that amount doesn't cover legal costs.

What should I do about it?

Here are some tips for companies and establishments that have both a physical presence and an online presence:

  • Audit your website and specifically look at your online purchasing/reservation services and products as there are Title III ADA regulations addressing this.
  • Read up on the WCAG 2.1 AA standard to become familiar with it and know what questions to ask others.
  • Consult with your legal and technical teams on best practices for web and mobile app accessibility.
  • Develop and implement a web and mobile app accessibility plan.
  • Review your vendor contracts and consider adding or supplementing provisions on indemnification and representations and warranties.

What does Pro Website Creators do about it?

  • WCAG 2.1 Section 1.4.3: Contrast ratio between text and background is at least 4.5:1.

This checklist must be implemented and tested against all pages of the site, and the design thus may need to change to be compatible.

  2. It allows you as the website owner to acknowledge any areas where targets have NOT been met and if there is a plan for resolution.
  3. It's a declaration of commitment, and those visiting will appreciate this open acknowledgment.

"[Company] is committed to making its website available to as many people as possible meeting the requirements of the Disability Discrimination Act and makes every effort to ensure its communications are accessible to those with special needs, including those with visual, hearing, cognitive and motor impairments.

Many Internet users can find websites difficult to use due to the way they have been designed. We recognize that this is an important issue and endeavor to ensure that the [] website is accessible in accordance with the World Wide Web Consortium (W3C) guidelines.

Our efforts to make this website adhere to WCAG 2.1 (Level AA) conformity guidelines to improve accessibility are ongoing, so if you come across a page you find difficult to use please provide your feedback here."

How to download Facebook videos

Last month we talked about how to learn while you’re doing something else, using podcasts, allowing you to get that learning in when you don’t have time.

We wanted to be able to do the same thing with some Facebook live videos to further enhance our knowledge about various subjects, and we figured out how to not only download the video but then extract the audio so we could put it on our phones for later listening (in the car, doing errands, exercising, etc.).

There are quite-a-few steps, and we’ve detailed them below, but we can record a video if you wish - just let us know:

  1. Go to the private FB group you want to grab the video from, and navigate to it.
  2. Click on the video.
  3. Right click and select “show video url”.
  4. Copy the video URL and paste into a new tab.
  5. Change www in the URL to mbasic and refresh the current tab.
  6. Right-click on the video and do “Open Link in new tab”.

  7. Right-click on the video and select “Save Video as…"
  8. Extract the audio from the video
    1. Use the free audio editing program “Audacity” to open up the video.

    3. Edit the song info and album info to your choosing so things stay organized in your audio player/manager.
  9. Drag and drop mp3 to iTunes or whatever audio player/manager you’re using.

Security Issues and Updates

Think twice before grabbing images from the internet!

We must all continue to remain diligent and up-to-date on the latest scams people are using to try to get us to give up our personal information.

These folks continue to get more and more sophisticated.

Case in point: people are able to hide malware inside images on some google user content.

An image is made up of several different kinds of data, not only the pixel data. Most images now store EXIF data, which is short for Exchangeable Image File, a format that is a standard for storing interchange information in digital photography image files using JPEG compression.

Digital cameras store information on the image such as shutter speed, exposure compensation, F number, what metering system was used, if a flash was used, and a host of other information.

However, this data can also contain executable code! Which can do harmful things when loaded on a website such as place warning banners on sites and enable emails to occur.

So please be careful when grabbing images from the internet and using them; most sites have copyright information on them so it’s illegal to use without permission anyway.
