Not too long ago, we redesigned and enhanced the website for Sow and Reap Physical Therapy.

I don’t want to sugarcoat things, so here’s the truth:

Their old site was pretty bad.

Hard to navigate, broken forms, no tracking, outdated design, and little alignment with their ideal clients.

If you had stumbled across that old website, the chances of you trusting that business with your health, and especially your pelvic health, would’ve been extremely low.

But that’s not the end of the story.

After the redesign, we also added a simple e-commerce capability using Stripe. While not their long-term ideal, it works, giving their clients an easy way to pay.

Understanding Your Sales Funnel (Without the Fluff)

Every business has a sales funnel, even if you've never named it. Here’s a simplified version of it:

Let’s define these quickly and in plain English:

Awareness
People discovering you exist. Social posts, ads, referrals, podcasts—all of these live here.

Leads
Someone raises their hand and gives you their info. Website forms, lead magnets, events, etc.

Qualified Leads
You filter out the folks who can’t afford you or aren’t a fit. Examples are Discovery calls or more in-depth qualification forms (often people that aren’t qualified won’t want to take this extra time).

Sales
Money given to you for your product or service with the promise of receiving your product or service.

Repeat Sales
The best revenue you’ll ever make as you don’t have to spend time/energy/money on Awareness. Examples are follow-up care, add-ons, retainers, coaching, ongoing treatments.

Now, if you want to understand whether your marketing is actually working… you have to run the numbers.

Let’s walk through what this looks like using Sow and Reap as an example.

Running the Numbers: A Simple, Powerful Example

Let’s assume the website produces 20 leads per month.

We’ll use simple conversion rates here:

  • 50% become qualified leads → 10 qualified leads
  • 50% of those become clients → 5 new clients each month (Five new clients a month is fantastic for a service-based business.)

But… is that good for your business?

This is where the two most important numbers come in:

  • Client Acquisition Cost (CAC)
  • Lifetime Value of a Client (LVC)

Let’s look at LVC using Sow and Reap’s model.

Lifetime Value Example

For the average client, let’s say they experience and pay for:

  • 5 initial visits
  • 3 maintenance visits per year
  • Over 3 years

Total visits over the relationship:
5 + (3 × 3) = 14 visits

At $150 per visit:
LVC = 14 × $150 = $2,100

But here’s where things get more interesting, and an area people often don’t consider.

If every 5 clients produce 2 referrals (which is realistic for healthcare providers), then:

New LVC = $2,100 + (2/5 × $2,100) = $2,940

Each new client then actually represents almost $3,000 in long-term revenue.

Multiply that by the 5 sales a month:

5 × $2,940 = $14,700 per month from website-generated clients.

Nearly $15K per month in eventual revenue—before adding additional services, before raising prices, before any referrals beyond that initial ratio.
And yes, even after subtracting your service delivery costs, this is still a massive win.

This is why understanding your numbers matters…why a broken or underperforming website is a silent killer.

And why a modern, well-built, strategic site isn’t an expense—it’s an investment that will pay for itself.

The Bigger Lesson for Your Business

Here’s what this case study reveals:

  • You need to understand your sales funnel at every stage.
  • You need to know your numbers. Real numbers, not guesses.

  • And you need to continually increase the lifetime value of a client.
